Covering a school trip through Berlin's education benefit
The same question comes up in almost every trip plan: what about the children whose families cannot cover it? Berlin has a defined route for this. It runs through the school, and families do not file an application for the individual trip.

What is covered
For eligible pupils, the cost of single-day school trips is covered at the actual amount. Pocket money and lunch are not included. The guidance note from the Berlin education authority is explicit on one point: capping the cost at a fixed amount is not permitted. If you have heard there is a maximum per child, treat it as a rumour.
Who does what
The teacher running the trip files the application, using form Schul II 174-2, the request for allocation of funds. Families simply show their berlinpass-BuT to the teacher. This is the detail most often stated wrongly in letters to parents.
How it runs
The application goes to the school management in good time before the trip, and the teacher receives the funds beforehand. Afterwards the same form goes back in with the receipts; anything left over is returned to the account named in the application. No separate settlement procedure is required unless the district school office asks for one. If the school has no account of its own, it forwards the application to that office.
When the berlinpass has not arrived yet
If the trip happens before the berlinpass-BuT has been issued, reimbursement works retroactively, and there is a separate form for parents. It covers costs from the first day of the month in which the BuT application was filed, and can be requested until the decision is issued and the berlinpass handed over.
What belongs on the invoice
An amount per child on the invoice makes the transfer into the form quick. With providers who bill per group it is worth asking; most will show it on request. We do — just tell us in advance how many children are coming.
If you are planning a trip right now: Localnauts is a GPS scavenger hunt for children aged 8 to 12 through the Bohemian Village in Rixdorf, a ready-made day out with a facilitator guide. The route runs over cobblestones and is not suitable for wheelchairs; other needs we discuss in the preparatory call.
